Designing

Photos that you use in your design should be JPG or JPEG file format with sRGB colour space. Please check your colour space settings in your chosen editing program (Photoshop, Lightroom, etc.) before you start editing photos and making your designs.

• Photos for 15×15 & 20×20 Books: with the longer side of the photo measuring at least 4800 pixels and exported at 300 dpi

• Photos for 20×25, 25×25, 30×30, 20×30, 25×30, 30×20 Books: with the longer side of the photo measuring at least 7100 pixels and exported at 300 dpi

These are optimum sizes – they can be smaller so best to check the size of the photos in InDesign under Links to see whether it is scaled correctly. (or any other design program you are using – they let you know with ! or pop-up message if your files are too small). The photos should be exported to sRGB from the original (unedited, raw) photos. If you already have photos in any CMYK colour space, don’t convert them back to sRGB but use the raw file. Please do not use any other RGB space (such as Adobe RGB, Apple RGB) than sRGB.

Other optimum photo sizes are:

• Fine Art 10×15 : 1200 x 1800 px

• Fine Art 15×21 : 1800 x 2500 px

• Fine Art 20×30: 2500 x 3600 px

• Wooden Photo Block 11×11 : 1300 x 1300 px

• Wooden Photo Block 15×15: 1800 x 1800 px

• Wooden Photo Block 20×20: 2500 x 2500 px

• Proof Box with Matt Prints (20×25 matted board) with 13×19 inserted photo: 1550 x 2250 px

• Photos for Swatches: 1200 x 1800 px

• Cover Photo: 1000 X 1000 px (small 6×6 cm or large 8×8 cm)

You can use any program you are comfortable with to make the design for your book that enables JPG (JPEG) or PDF exporting – we suggest Adobe InDesign or Pixellu SmartAlbums, Fundy Designer or AlbumStomp, which offer Kalá albums templates (and already give the correct 3mm Adobe InDesign bleed area and safe zone).

Our Custom Design Service offers you a sophisticated and clean design made with special attention to detail. You will be able to upload your photos to a folder which we will share with you. Please pay attention to the required photo characteristics & naming – they should be named in sequential order (001, 002, 003, etc). You may choose to upload between 40 and 180 photos depending on the number of spreads of your book. For optimal design we use approximately 2,5 photos per spread. If you have 40 spreads in your book the the optimal number of photos is 70-110.

In up to 10 working days we will send you an email with the preview of our design. If you are satisfied with it you can confirm the design by responding to our mail. Alternatively, you also have a one-time possibility of corrections free of charge by replying to our mail with the list of all desired changes, for example:

• swapping a photo with another one,

• changing the layout of a spread,

• etc.

We will make all corrections within 10 working days and send you another preview by email. After confirmation, we will send the files into printing. Additional design changes after or major design alterations (more than 20% of the design) are charged.

The setup file you make in your chosen program should always include a bleed space of 3 mm around the spread (templates already include extra 3 mm so you don’t need to add them extra), and a 10 mm safe zone (this is a place where you should not put any important details since they can get cut off.

Viva Book is a hand sewn book and is not lay flat book. It uses hand sewn page signatures and so it does not allow the photos to lay across both pages or have them extended to the bleed area. It starts on the right page and finishes on the left so keep that in mind while designing.

• 20×25 cm book size – 20,3 x 25,6 cm design area

• 25×25 cm book size – 25,3 x 25,6 cm design area

• 30×30 cm book size – 30,3 x 30,6 cm design area

Sample books are designed the same way as a normal book only to have somewhere in the PDF written in your color and font choice STUDIO SAMPLE.

Duplicate books can be ordered only at the SAME TIME as the original (main) book of 25×25, or 30×30 or 25×30 size. Duplicate books can be the same or smaller size of original book.

Uploading & Exporting

You will be able to upload your files in Google Drive shared folder which we will share with you during our office hours (Mon-Fri, 8-15 o’clock). You can also share your files with Dropbox or Wetransfer.

Please use the same naming of your files as is the name of your shared folder. If more than one file is uploaded (prints, pages, spreads) use sequential numbering at the beginning with three digit numbers (001, 002, 003, etc).

Images for prints should be in jpg. Spreads for a book should be in jpg. If you’re not uploading separate spreads, export and upload as pdf. For logos please upload a black & white file – either EPS (vector) or PDF format. Any fonts should be in tff or otf.

We cannot change your designed files in pdf or jpg to a different size. It has to be done in the design program you have used.

For ID, you change the size in the document setup, all the pages will be then smaller and all you have to do it to arrange the photos on that pages (select all photos on one page and make the smaller, either with % all manually).

If you are preparing a Studio Sample please add “Studio Sample” on the first or last page of your design. Please keep in mind that “Studio Sample” needs to be written on all Sample orders or we will add it.

As soon as we receive payment & files, we start production. Email us in case we can still make any changes, but we cannot promise. Additional costs may occur.

Personalization & Production

We need approximately 3-4 weeks production time + shipping for books and boxes and other items. For FA prints we need 1-2 weeks production time + shipping.

No, unfortunately we do not. But please, write to us and explain to us your situation. We will do the best we can to help you out.

Every year we have the deadline in the first week of November.

Please write to us as soon as you realize you need to change something. If the item ordered is not yet in production we could be able to help you.

Shipping & Returns

We normally do not offer that, but in a specific case we can contact TNT for their services (we normally ship with DPD or Post Slovenia).

Yes, this is possible however you need to be aware if you are based inside EU and wish to send outside EU we will by law (for duty purposes) need to add an invoice to the package. All packages outside EU include invoice.

We attach an invoice everytime the package is shipped outside the EU. Inside the EU we do not attach an invoice.

The product may be returned on notice and for the following reasons: damaged packaging, damaged product or unsatisfactory product in which case additional criterion must be met (if you receive a product that you are dissatisfied with, please send a written explanation with the photos within 14 days of receipt, which we will discuss and send you a written explanation.) On returning the product please read our Terms and Conditions.

Ordering & Paying

If your order is not yet in production, we can arrange a change. Additional cost may apply.

If your order is not yet in production, we can arrange a cancellation. For the payment you either receive a bonus or a return.

Yes, you can change your shipping address, but only if you are ordering inside the EU and shipping also inside the EU. When shipping outside the EU (and ordering inside the EU), please write to us.

You can pay via Bank Transfer, Paypal or Stripe.

We attach an invoice every time the package is shipped outside the EU. Inside the EU we do not attach an invoice.

Taking care of your products

Store in our acid-free archival book box and away from acidic elements (newspapers, glued drawers, etc). Place laying down with a medium lightweight book or books the same size upon it or standing up on a bookshelf stacked between other books. Don’t place very heavy objects on top.

Variations in temperature and humidity can cause materials to react so store at room temperature away from too much light, heat, moisture, etc. Leaf through on a flat clean surface with clean, lotion-free hands (or with cotton gloves). Be careful when browsing not to allow the endpapers to become too stressed since they might tear.

Printed with fine art pigment inks makes them suitable for framing and sunlight exposure (as opposed to photo prints). Both can be stored in our special photo boxes or organic cotton bags.

Store at room temperature and never expose to direct sunlight, extreme heat, or moisture. Store on a clean surface and handle with clean, lotion-free hands.

When not in use, store away from acidic elements (newspapers, glued drawers, etc). Place laying down with a medium lightweight book or books the same size upon it or standing up on a bookshelf stacked between other books. Don’t place very heavy objects on top.

Bags are to be washed in warm water and ironed.

Wooden Photo Blocks can be cleaned using a damp cloth and stored away from acidic elements. Variations in temperature and humidity can cause materials to react so store at room temperature away from too much light, heat, moisture, etc.
